Tribunal Admin / Ecclesiastical Notary

POSITION SUMMARY:

Create a welcoming presence and provide outstanding, hospitable, professional, and friendly reception services for the staff and guests of the Tribunal Office. Performs general office duties, including typing, transcription, filing, and record keeping. Answers varied questions concerning tribunal policies, services, and procedures. Serves as an Ecclesiastical Notary.

 

ESSENTIAL FUNCTIONS:

  • Answers incoming telephone calls determines purpose of callers, forwards call to appropriate personnel or department.
  • Welcomes on-site visitors, determines nature of business, and directs visitors to appropriate
  • Performs administrative duties, including typing, transcription, photocopying, scanning, filing, and record keeping for the tribunal as requested.
  • Maintains inventory of office supplies and equipment and requests additional supplies as
  • Collects and distributes mail. Assists in the preparation and sorting of large mailings.
  • Maintains and processes records and forms for the tribunal; serves as a research assistant for the Judicial Vicar.
  • Serves as Ecclesiastical Notary; draws up the acts and instruments regarding decrees, and generally authenticates judicial acts and other instruments; gathers, arranges and safeguards the archives of the
  • Reviews applications for completeness, request missing information and documents; enters information and processes cases in the Tribunal database; identifies connections between cases and properly documents the connections in both the software and case
  • Assists with the coordination of Tribunal sponsored training
  • Responds to inquires concerning tribunal policies and services
  • Assists in preparing and sending correspondence, and as needed to help in the collection of certain proofs; assists Judges and Case Instructor (Auditor) in sending notifications to parties, parishes, and
  • Assists the Judicial Vicar, Judges and Case Instructor (Auditor) in monitoring the progression of cases to ensure their swift processing; assists with the preparation of monthly, quarterly, and annual reports; including status reports to clergy and other pastoral ministers in the
  • In addition to the above, performs related duties, responsibilities and extra projects as assigned. Participates in continuing education as provided or approved. Attends chancery and ministry staff meetings.

 

QUALIFICATIONS:

Knowledge and Abilities:

  • Excellent computer and Internet skills and knowledge of computer programs, including Microsoft Windows, Microsoft Office, Excel, Adobe, Outlook, Tribunal database, or equivalent programs.
  • Basic Knowledge of Catholic theology concerning
  • Excellent telephone etiquette and knowledge of telephone switchboard
  • Excellent decision-making skills, the ability to cope with considerable stress and the capacity to multi-task.
  • Excellent organizational, interpersonal, and written communication
  • Transcription, photocopying, scanning, faxing, and filing
  • Knowledge of bulk mailing regulations and ability to operate postage

Experience:

  • High School diploma or

Title: Secretary
Supervisor: Director of Student Information Systems & Records
FLSA Status: Hourly, 35 – 40 hours per week

GENERAL SUMMARY:  Under the direction of the Director of Student Information Systems & Records and Superintendent of Catholic Schools, the Secretary provides professional administrative and clerical support to sustain services provided by the Office of Catholic Education (OCE). In this role, the secretary supports all staff of the office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Clerical tasks include:

  1. Answering phone calls for the Office of Catholic Education.
  2. Assisting the OCE with preparing office calendars, meetings, conferences, workshops, retreats, etc.
  3. Process all incoming and outgoing mail.
  4. Performing clerical duties as requested.
  5. Prepare and update any forms used by the OCE.
  6. Scan and archive paper files into electronic files.
  7. Upload teacher transcripts, religious certification, and other employment data into FACTS SIS.
  8. Other duties as assigned by the Director or Superintendent.

Administrative tasks include:

  1. Working with school principals to ensure that school diocesan personnel files are up to date, accurate, and complete.
  2. Providing principals, on a timely basis, items they request.
  3. Ensuring all employees meet employment requirements as established by the Diocese and local, state, and federal agencies (including criminal history checks, application of materials, credentials, transcripts, references, etc.).
  4. Issuing teacher contracts according to the policies in the “Lay Teachers and Principal’s Salary Program and Procedures;”
  5. Monitoring Professional Qualifications Plans, Safe Environment Training dates, etc. and
  6. Maintaining all employee correspondence.

Accepts other responsibilities as determined by the Superintendent of Catholic Schools.

Minimum Qualifications

  • Ability and willingness to work in a team situation.
  • Ability to plan and organize assigned tasks and to work independently until completion of those tasks.
  • Maintain the office’s confidentiality.
  • Have excellent communication and interpersonal skills necessary to interact with the public.
  • Proficient skills in Microsoft Office, Excel, and PowerPoint or other software applications.
  • Ability to operate and maintain office machines (copy machine, computer, phone system, etc.)
  • Be an accurate typist (minimum of 60 words per minute).

Educational Experience

Associates degree in business, human resources, or related field and/or a minimum of 2 years secretarial experience.

SUMMARY:
This position works closely with the Director of Human Resources to promote the understanding of Safe Environment in its broadest scope. Implements diocesan goals of Safe Environment as set forth by the Bishop using appropriate Church documents as foundational resources. Operates within a team context and engage in significant ministry collaboration to deliver resources and services to parishes, organizations, and diocesan departments.

ESSENTIAL FUNCTIONS:

  • To collaborate closely and effectively with clergy and the laity to ensure that the Diocese complies with the requirements of the USCCB Charter for the Protection of Children and Young People (the “Charter”); and
  • To oversee the Diocesan Safe Environment Program which plans, implements, and monitors the training and background checks of all clergy, employees, and volunteers who minister and work in the Diocese.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
Includes the following.

  • Serve as office’s first point of contact for internal and external individuals/groups.
  • Assist with the oversight, operation, and maintenance of the Safe Environment Program and policies, specifically the program’s compliance monitoring and reporting.
  • Develop relationships with parishes, school, and other agencies to obtain key information and deliver quality services.
  • Trains the Safe Environment Coordinators in parishes, schools, and agencies to ensure compliance with all aspects of the program, including record keeping and training.
  • Work closely with parishes, schools, and other agencies to ensure that clergy, religious, employees and volunteers to are effectively screened and trained according to diocesan safe environment policies and procedures as defined in the diocesan Child and Youth Protection Policy.
  • Develops and manages record keeping procedures for all training aspects of the Diocesan  Safe Environment Programs.
  • Maintains databases for the purpose of tracking and reporting compliance of all parishes, schools, and agencies with regards to Safe Environment policies and procedures, ensuring that data is complete and accurate.
  • Generate and distribute reports for all parishes, schools, and other agencies.
  • Regularly communicates updates of various Safe Environment topics to each parish, school, and agency.
  • Work closely with Safe Environment facilitators in scheduling and implementing Safe Environment trainings across the diocese.
  • Assist with program requirements and audit deadlines per the USCCB.
  • Other duties when required.
